Executive Virtual Assistant Job Description: 

The successful Executive Virtual Assistant will be experienced and highly skilled in working with leaders and professionals, as well as managing confidential matters and exercising high levels of discretion and judgment. A high level of professionalism, organisational slills and flexibility are essential. 

You have a strong personality with a soft touch

You love a challenge. You are a leader and have an obsession for getting lots of things done on time and can expertly manage numerous projects like a champion.

You are a highly proficient communicator both written and orally. Using a Mac or Pc comes naturally to you and you easily stay on top of all communications.

You are looking for a unique position where you will help the CEO/COO positively impact the business, profit and staff.

Essential Functions – Primary duties of the position

  • Handle all aspects of critical projects and assignments supporting and contributing to business in a wide variety of areas, including but not limited to its administration, operations, security, facilities and more. This includes working closely with other executive team members or other staff, conducting research, proactively identifying impacting issues, concerns or areas requiring review, overseeing coordination efforts, providing recommendations and more.
  • Correspond as needed with internal and external stakeholders and constituents to advance business initiatives; manage and coordinate all correspondence and conference calls.
  • Proactively provide reminders of deadlines, signatures, content required, etc.
  • Build and maintain solid professional relationships with the executive team, all levels of staff, students, clients, constituents and those doing business with your client.
  • Provide any other support as needed and required.

 

Required Skills – Competencies – Qualifications 

  • Min of 3 years of experience in a key assistant or administrative or project management role, ideally supporting key business functions/leaders and/or C-suite staff or executive.
  • Ability to execute responsibilities, with integrity, and demonstrating a strong business, professional acumen
  • Superior oral and written communication skills, with an ability to represent the CEO/COO internally and external with professionalism, discretion and accuracy
  • Ability to operate as a high performing collaborative team player
  • Maintains composure under pressure, and can handle situations calmly, using superior judgment, respect and discretion
  • Able to handle multiple responsibilities simultaneously, prioritising work/tasks, and utilizing effective time management in a fast-paced environment
  • Ability to handle confidential matters and information with discretion
  • Demonstrates a sense of urgency and flexibility as needed and required to execute responsibilities
  • Superior organization skills and attention to detail
  • Demonstrated ability to take ownership of work, proactively following-up and following through on responsibilities without prompting
  • Proficiency in Microsoft Office Suite and GSuite products
  • Effective research and analysis skills, including the ability to conduct internet research
  • Friendly professional demeanor and a strong desire to learn

We work as follows: we first ask for your CV in order to understand your skill sets better and where you enjoy working, your current experience, then we ask for an interview and thereafter should we both feel that there is a synergy we will place you on our potential VA list. If you don’t have a CV you can export your LinkedIn profile.

Once we receive a client RFP, we will revisit all CV’s received to identify the best suited VA for that particular account. We believe in matching the VA as closely as possible to the client, as you do become an integral part of their team, so it is important for us too that both parties get along.

Should you be chosen for that particular account a consultant form and NDA will be sent to you.

We will first need to on board you before doing formal introductions to your client.
